Every fiscal quarter (ending in April, July, October, and January), they must file an IFTA fuel tax report that details the miles traveled and fuel purchased in each IFTA jurisdiction. The tax liabilities for each jurisdiction are calculated using a formula that factors in the average fuel mileage. This results in a report showing what has already been paid to each state or province and whether there are any additional amounts owed or overpaid.
If you’ve overpaid, your base jurisdiction (where your carrier’s license was issued) will refund the excess. Conversely, if you owe taxes, the base jurisdiction will collect the amount due and distribute it to the appropriate states or provinces. As you can see, the quarterly report is a key element of the IFTA process that carriers must submit to ensure proper tax handling.
Who Needs an IFTA License?
Do you need to apply for an IFTA license and submit a fuel tax report? Not every vehicle is required to comply with this regulation. Many drivers can travel across states and provinces without needing extra permits or reporting. The IFTA applies primarily to commercial vehicles that fall within certain categories or are used for specific purposes.
Your vehicle needs an IFTA license if it:
- Transports people or goods
- Has two or three axles and a gross vehicle weight (GVW), either actual or registered, exceeding 26,000 lbs. (11,797 kgs), or if the combined weight (when towing) exceeds 26,000 lbs. (11,797 kgs)
If your vehicle meets these criteria, you are required to submit the IFTA quarterly fuel tax report.
Penalties
Failing to file the fuel tax report on time, submitting it late, or underpaying can result in a penalty. The penalty is the greater of 10% of the amount owed or $50. Additionally, interest will be applied to any outstanding balance due to each jurisdiction.
